Episode 005: How to Automate Your Business and Free Up More Time

As a mom managing a business, one of the most precious resources you have is time. It’s easy to feel like there are never enough hours in the day to get everything done. But what if you could free up some of that time by automating the tasks that don’t require your direct attention?

In this post, I’m sharing how you can automate your business to save time and reduce the mental load. These are the tools and strategies I’ve used to streamline my business and create more space for what truly matters—whether that’s time with family, self-care, or simply a moment to breathe.

Automating Your Email Marketing

One of the easiest ways to start automating your business is with email marketing. Sending one-off emails to clients, customers, or leads can take up a lot of time. But with the right tools, you can set up automated email sequences that nurture your audience and convert leads into customers—without you having to lift a finger every time.

Choose an email marketing platform (I personally love Flodesk for its ease of use) and create a welcome email sequence. When someone subscribes to your email list, they should automatically receive a warm welcome and helpful follow-up emails. Once this is set up, it runs on autopilot and frees up time you would’ve spent on manual emails.

Scheduling Social Media Posts

Social media is important for your business, but it can also be a huge time suck. Instead of logging in every day to post something new, you can schedule posts in advance so you don’t have to think about it daily.

Use tools like Buffer or Later to schedule your social media posts for the week. Take an hour each week to create and schedule your posts for the upcoming days. This way, you’ll stay consistent without the daily pressure of coming up with content on the fly.

Streamlining Client Onboarding

If you’re working with clients, chances are you already have an onboarding process—sending contracts, gathering information, setting expectations, and more. The good news is that this process can be automated too.

Set up an automated onboarding system using a tool like Dubsado or HoneyBook. These platforms let you create workflows where you can automate emails, contract signing, and payment reminders. This takes the guesswork and effort out of each new client relationship, making everything seamless for you and your clients.

Automating Payments and Invoicing

Tracking invoices and chasing payments can be a hassle when you’re doing everything yourself. Thankfully, this is another task you can automate to save time and mental energy.

Use invoicing software like QuickBooks or Wave to automate payment reminders and recurring invoices. Once set up, these systems will send invoices, track payments, and even send reminders for you—leaving you with more time to focus on your business.

Organizing with Task Automation

Whether it’s a to-do list, recurring reminders, or calendar scheduling, automating your tasks can free up mental space and keep you organized.

Use tools like Trello, Asana, or Notion to automate reminders, task assignments, and to-do lists. With these tools, you can create workflows for each project and ensure you’re staying on top of deadlines without manually tracking every detail.

Working Smarter, Not Harder

By automating key areas of your business, you can free up valuable time and reduce the stress that comes with managing everything on your own. It’s not about working harder; it’s about working smarter and letting technology take care of the repetitive tasks so you can focus on what matters most.
